Rental Agreement

VILLA ACCOMMODATION RESERVATION AND SERVICE AGREEMENT
PARTIES AND PURPOSE

This agreement is concluded between the tenant (hereinafter referred to as the “Customer”) who reserves a villa/holiday home and GrandVillen GmbH (hereinafter referred to as “GRANDVILLEN”), acting as an intermediary for accommodation services. The agreement applies to a pre-defined period with specified start and end dates and governs the rental of a villa/holiday home for accommodation purposes. All persons making a reservation via www.grandvillen.de, by phone, or by email accept the following terms. In case of violation, “GRANDVILLEN” reserves the right to cancel the booking unilaterally, request the customer to vacate the property, retain the deposit, and demand full payment.

RESERVATION AND PAYMENT
Pre-reservations can be made via the website form, phone, or email. After providing travel dates and required contact and billing details, the booking is completed. After booking, a deposit of 20% to 40% of the total price is required, depending on the accommodation. If paid within one business day, the reservation becomes binding. Payment details are provided via email, SMS, or phone. The remaining balance is paid in cash upon arrival. A security deposit is also required and will be refunded after inspection at check-out if no damage is found. The amount is specified in the property description.

CHECK-IN / CHECK-OUT
Check-in: 4:00 PM  – 9:00 PM
Check-out: by 10:00 AM
Late arrivals may only check in the next day. “GRANDVILLEN” is not liable for resulting costs. Late check-out may result in liability for damages.

CAPACITY
The maximum number of guests (including children and babies) must not be exceeded. Changes require written approval. Undeclared guests are not permitted.

CLEANING AND ADDITIONAL SERVICES
Final cleaning is included. For stays of two weeks or more, weekly cleaning and linen/towel changes are included. Additional services are charged. Pool and garden maintenance are carried out regularly. “GRANDVILLEN” acts only as an intermediary and is not liable for technical issues but assists in resolving them.

PETS / SMOKING
Pets are only allowed if explicitly stated.
Smoking indoors is prohibited.

PRICES
Prices are per day, week, or month.
Payments can be made via bank transfer, EFT, or credit card.

GRANDVILLEN CANCELLATION TERMS
In case of cancellation, GrandVillen reserves the right to charge certain percentages of the total service cost specified in the travel agreement in order to cover the measures taken and expenses incurred in relation to the trip. These amounts are determined as follows:


Cancellation Conditions

a) The 20% or 40% deposit collected for the villa reservation is strictly non-refundable.
b) If the reservation is made up to 30 days before the check-in date, 20% to 40% of the rental fee must be paid, depending on the type of accommodation.
c) If the reservation is made 29 days or less before the check-in date, 100% of the villa rental fee will be charged.
d) If the reservation is canceled by GrandVillen for any reason, you will be informed as soon as possible. If there is another villa with similar features available for the same period in our portfolio, it will be offered to you. In cases of force majeure (such as earthquakes, floods, natural disasters, etc.), the full payment will be refunded to the guest.
e) In case you do not arrive at the reserved villa or leave early, no refund will be made.
f) If there is a special cancellation policy for certain villas/holiday homes in our portfolio, it is clearly stated in the villa information section.
g) Refund requests must be submitted via email or registered written notice and will be considered valid from the moment they are received by us.
h) If the remaining payment is not made on time after the deposit is paid, GrandVillen reserves the right to rent the villa to other parties.
k) After receiving the payment, GrandVillen has the right to terminate the contract unilaterally within 1 (one) day. In such cases, the refund will be made to the customer's account or credit card within 1 day. If a reservation is canceled unilaterally by GrandVillen for any reason, the customer will be informed as soon as possible. If an equivalent alternative is available, it will be offered. If the customer does not accept it and the situation does not fall under force majeure, the payment will be refunded.
GrandVillen shall not be held liable for any damages arising from such cancellations. This includes, but is not limited to, flight tickets, bus tickets, car rentals, boat rentals, transfer services, hotel or pension bookings, and any other expenses or permits obtained from private companies or government institutions. By making a reservation, the customer agrees to these terms.

Exceptional Circumstances
In cases beyond our control such as war, threat of war, civil unrest, terrorist acts, natural disasters, health risks, epidemics (e.g., COVID-19), or death of a first-degree relative of the reservation holder, and upon submission of relevant documentation, the paid deposit will be kept as credit for a future reservation and deducted from the total amount of the new booking.
The total cost of the new reservation may vary depending on the selected property or dates.


Damage Deposit
A damage deposit of varying amounts depending on the villa/holiday home will be collected from the customer. This amount is specified in the booking confirmation document. The deposit will be collected in cash on the check-in day and will be refunded in cash before departure, provided that no damage or missing items are found during inspection. If the customer leaves earlier than stated or if the inspection cannot be completed due to time constraints, the deposit will be transferred to a bank account provided by the customer. If the damage exceeds the deposit amount, the customer will be required to pay the difference; otherwise, legal action will be taken.


SWIMMING POOLS
The temperature of swimming pools may vary depending on weather conditions and seasonal changes. GrandVillen cannot be held responsible if the pool cannot be used due to cold water. Customers are advised to check weather conditions in advance. GrandVillen is not responsible for any negative weather conditions.


OUR RESPONSIBILITIES AND GUARANTEE
GrandVillen is responsible for delivering the villa/holiday home clean and ready for use at the agreed date and time. Any malfunctioning items or issues must be reported immediately upon arrival. GrandVillen will notify the property owner or relevant party and ensure that the issue is addressed within 48 hours. GrandVillen is not directly responsible for fixing issues but assists in resolving them. Issues not reported on time are not the responsibility of GrandVillen. As an intermediary between the owner and the tenant, the owner is responsible for resolving issues. GrandVillen is not liable for accidents, illnesses, injuries, drowning, death, or similar incidents, nor for events such as fire, theft, or other damages occurring at the villa. GrandVillen is also not responsible for any problems arising from third-party services such as transportation, tours, shopping, food and beverage services, entertainment, travel, or guiding services.

After departure, the customer cannot claim any rights or refunds for services not received due to issues that were not reported during the stay.


CUSTOMER RESPONSIBILITIES
The customer is responsible for using the villa/holiday home, pool, garden furniture, electrical and electronic devices, and all furnishings in a clean and proper manner. All kitchen items must be left clean as received. If the villa is left excessively dirty, a cleaning fee will be deducted from the damage deposit. Any damage must be reported. The cost of damages or lost items will be deducted from the deposit; if it exceeds the deposit, the customer must pay the remaining amount. The customer and accompanying guests must comply with social and legal rules, avoid disturbing neighbors, refrain from excessive noise or loud music, and avoid illegal activities. In case of complaints, GrandVillen reserves the right to request the customer to vacate the property before the end of the reservation period. For villas described as “conservative” (not visible from outside), if full privacy is not explicitly guaranteed, GrandVillen does not guarantee complete invisibility. Guests are responsible for their own privacy and security. GrandVillen accepts no responsibility in such cases. The customer agrees to vacate the villa/holiday home unconditionally at the agreed check-out date and time.


FORCE MAJEURE
GrandVillen reserves the right to terminate the contract unilaterally without legal liability in cases of force majeure. These include war, threat of war, riots, strikes, natural disasters, fires, terrorist activities, epidemics, transportation issues, government restrictions, infrastructure works, or any unforeseeable events beyond our control.


COMPLAINTS
Guests must report any complaints during their stay to GrandVillen. The issue will be reviewed and necessary actions will be taken promptly.
GrandVillen cannot be held responsible for complaints reported after the stay has ended.
